Job Purpose:
The Supply Assistant of VIVOE ENERGY of Guinea is the direct collaborator of the Supply Manager.
He is responsible for organizing inter-depot transfers and monitoring all stock operational movement in Samp;D account. He is the guarantor of the stock integrity of the company:
v Monitor the stock level in all mining sites (VEG’s consignment stocks) and SGP depots
v Manage and plan inter-depot transfers.
v Ensure that all transactions are recorded on time "online" in SAP.
v Daily, ensure that all tanks and bulk product tanks are reconciled in SAP.
v Provide back-up for the Supply Manager.
Dimensions:
Stock Management of 4 JV depots and 5 mining depots for 540 000 M3 of fuel and 5 lubricant warehouses (2 in Conakry and 3 mining sites) for 6 KT annual throughput
Direct reports:
The Supply Assistant will report to the Supply Manager of VIVO ENERGY GUINEA
Main Internal stakesholders:
v Logistics Manager: As part of inter-depot transfers and truck availability
v CSC: For stock availability and order delivery tracking.
v Finance: Follow-up of stock integrality reports and transmission of monthly inventory reports for all depots to the Stock Accountant.
v Supply and Distribution: Reports on the management of Gain and Loss for both depot and transport transit
v Mining Depot Managers: Monitor the stock level to organize transfers, ensure that the daily inventory reports of the warehouse managers are correct.
Main external stakesholders:
v SGP: Monitor transactions stocks in the Conakry, Kankan and Nzerekore depots.
And manage the primary transfers to inland SGP depots
v Rusal FRIGUIA: For the Management of VEG Fuel Oil stock in their tanks at Conakry terminal if applicable
v Others MARKETERS: Brown and Loan Follow up
v Customs: Ensure that all transfers are conform to the customs regulations and clearance properly done
Principal Accountabilities:
v Follow stock reconciliation with VIVO’s standard in term of integrity
v Report any dead stock and slow moving stock and propose alternative solution for their transfer or re-blending
v Manage all movements stock online in SAP
v Manager Conakry Warehouse with high standard in terms of integrity, quality and house keeping
v Attend the quarterly SOGUILUBE meeting for the buffer stock management
v Analyze and explain Gain and loss for both terminal and transit losses.
Key Challenges:
v Zero stock out for all mining sites and both primary SGP depots
v Manage online all inter-depot transfer product in SAP
v Follow stock integrity and housekeeping at SOGUILUBE VEG warehouse
Requirements
